What Personal Data We Collect and Why We Collect It

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor's IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. How Long We Retain Your Data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Third-Party Services and Integrations

Our DwellCRM platform integrates with third-party services to enhance functionality. These integrations are optional and require your explicit consent.

Google Calendar Integration

When you choose to connect your Google Calendar to DwellCRM, we request access to:

• View and edit calendar events: To display your existing appointments and allow you to create new events directly from the CRM
• View calendar settings: To properly sync timezone and display preferences

How we use this data:

• Display your calendar events within the CRM interface
• Create appointments and reminders linked to your leads and contacts
• Sync events bidirectionally between DwellCRM and Google Calendar

What we do NOT do:

• Share your calendar data with third parties
• Store calendar data beyond what's necessary for the integration
• Access calendars you haven't explicitly authorized
• Use your calendar data for advertising or marketing purposes

You can revoke Google Calendar access at any time through your Google Account settings or within DwellCRM settings. Upon disconnection, we immediately cease accessing your Google Calendar data.

Gmail Integration

When you choose to connect your Gmail account to DwellCRM for sending emails, we request the following permission:

• Send email on your behalf (gmail.send): To send emails from the CRM using your Gmail address

How we use this permission:

• Send individual emails to your leads and contacts
• Send automated drip campaign emails on your behalf
• Emails appear as sent from your Gmail address

What we do NOT do:

• Read your inbox or existing emails
• Access your contacts or other Gmail data
• Store the content of emails you send (only metadata for logging)
• Share your Gmail data with third parties

You can revoke Gmail access at any time through Settings or your Google Account. We store only the OAuth tokens necessary to send emails on your behalf, and these are deleted upon disconnection.

Payment Processing (Stripe)

We use Stripe, Inc. to process subscription payments. When you subscribe to DwellCRM:

• Your payment card information is sent directly to Stripe and never touches our servers
• We receive only a token representing your payment method, the last 4 digits of your card, and expiration date
• Stripe is PCI-DSS Level 1 certified, the highest level of payment security

Email Delivery (Brevo)

For users who don't connect Gmail, we use Brevo (formerly Sendinblue) to deliver emails:

• Recipient email addresses are shared with Brevo for delivery purposes only
• Email content is transmitted through Brevo's servers

Data Storage and Security

Where Your Data is Stored

DwellCRM uses Google Cloud Platform (Firebase) for data storage and hosting:

• Data is stored in secure, SOC 2 and ISO 27001 certified data centers
• All data is encrypted at rest and in transit using industry-standard encryption
• Data is primarily stored in the United States
• Regular automated backups ensure data durability

Data Security Measures

• All connections use HTTPS/TLS encryption
• OAuth 2.0 for third-party integrations (no password storage)
• Role-based access controls
• Regular security audits and monitoring
• Secure authentication via Firebase Authentication

AI and Analytics Features

DwellCRM includes AI-powered features to help you manage leads:

• Lead Scoring: We analyze lead activity and engagement to predict conversion likelihood
• AI Insights: We provide recommendations based on your CRM data patterns
• Analytics: We aggregate anonymized usage data to improve our services

AI processing occurs on your data only to provide features to you. We do not use your lead data to train general AI models or share it with third parties.

Data Retention

• Active Accounts: Your data is retained as long as your account is active
• Cancelled Accounts: Data is retained for 30 days after cancellation, then permanently deleted
• Activity Logs: System logs are retained for 90 days for security purposes
• Email/SMS Logs: Communication logs are retained for 1 year for compliance

Data Security for Third-Party Integrations

All third-party integrations use industry-standard OAuth 2.0 authentication. We never store your Google password. Access tokens are encrypted and stored securely, and you maintain full control over connected services.
